Terms & Conditions – Easy Car Rentals Inc.
1. Definitions
Agreement includes these Terms & Conditions, the rental contract, invoices, and any documents provided at booking or pickup.
Renter / You means the individual signing the contract and any authorized additional drivers; all are jointly and severally liable.
We / Company means Easy Car Rentals Inc.
Vehicle means the rental car, including all parts, equipment, keys, and documents.
Authorized Driver means the renter and any driver we approve in writing.
Optional Equipment includes child safety seats, lockboxes, GPS units, or similar items.
2. Eligibility & Use
A valid U.S. or international driver’s license is required; only Authorized Drivers may operate the Vehicle.
The Vehicle must be operated safely, lawfully, and maintained with reasonable care (e.g., check fluids and tire pressure).
Prohibited uses include: racing, towing, off-road driving, ride-hailing or delivery without written consent, transporting hazardous materials, or any illegal activity.
The Vehicle may not be taken outside the contiguous United States.
We may demand the return or repossess the Vehicle at your expense for violations, suspected fraud, or non-return.
3. Vehicle Condition & Return
Vehicles are provided clean, inspected, and roadworthy. The renter must inspect and report any pre-existing damage at pickup.
Return the Vehicle to our Nashville lot unless alternate delivery/return arrangements are approved in advance.
Late return: 30-minute grace period; 1 hour or more late will be charged as an extra rental day.
For after-hours returns, the renter remains responsible for the Vehicle until it is inspected during the next business day.
4. Insurance & Liability
Renter must provide verifiable full coverage insurance (liability, collision, and comprehensive) that extends to rental vehicles.
Out-of-state insurance is accepted with proof (current declarations page).
If coverage cannot be verified, renter must purchase an approved protection plan before pickup.
Easy Car Rentals Inc. does not provide personal accident insurance. Any deductible is the renter’s responsibility.
The renter assumes full financial responsibility for accidents, injuries, property damage, or fatalities resulting from Vehicle use, and agrees to indemnify and hold harmless Easy Car Rentals Inc. from all related claims, costs, or attorney fees.
Any uncovered or delayed insurance claims remain the renter’s responsibility, including repair or replacement costs, towing, storage, administrative fees, loss of use, and diminished value.
5. Rebuilt Title Vehicles
Some vehicles in our fleet carry rebuilt or salvage titles. All such vehicles are fully repaired, inspected, and legally registered for road use.
By renting, you acknowledge and accept the Vehicle’s title status and its inspected condition at pickup.
6. Security Deposit
A $200 security deposit is required at the start of rental (credit, debit, or cash).
The deposit may be applied to any unpaid balance, damage, or violation fees under this Agreement.
It will be released within 7 business days after the rental ends, subject to final inspection and pending charges. Bank processing times may vary.
7. Delivery & Pickup
Delivery available to Nashville International Airport (BNA) and to addresses within 25 miles (hotels, Airbnbs, offices, or other safe locations).
A $100 flat delivery fee applies, payable in full before delivery.
BNA rules: Vehicles are parked only in approved lots (Terminal Lot A, Economy Lot B, or Economy Lot C). No curbside or terminal garage parking.
Lockbox details (lot, row, code, vehicle, plate) are provided 30 minutes before pick-up time.
Returns may be made to the same approved BNA lots (using the lockbox) or our Nashville lot.
8. Mileage & Fuel
Rentals include 200 miles per day; additional miles billed at the rate stated in your rental agreement.
Return the Vehicle with the same fuel level; otherwise, a $6.95 per gallon refueling charge applies (rounded to the nearest 1/8 tank).
Prepaid fuel option available (no refund for unused fuel).
9. Prohibited Conduct
- Driving under the influence or by unauthorized drivers.
- Tampering with odometers, GPS, or tracking devices.
- Overloading passengers or cargo; transporting children without proper safety seats.
- Leaving keys in the Vehicle or leaving it unlocked.
- Continuing to operate the Vehicle after damage or warning lights appear.
- Off-road use, racing, towing, or rideshare/delivery without written approval.
Violations may void coverage, result in repossession, and incur additional fees.
10. Repairs & Breakdowns
Unauthorized repairs are not reimbursed; renter must obtain approval before service.
Report any mechanical issues immediately.
Roadside assistance is not included unless purchased separately.
The renter is responsible for lockouts, flat tires, dead batteries, and fuel delivery expenses.
11. Fees & Charges
Cleaning Fee: Up to $250 for smoking, excessive mess, or pet-related cleaning.
Loss of Use: Daily rental rate applies for each day the Vehicle is unavailable due to renter-caused damage.
Tolls, Tickets & Violations: Renter is responsible for all charges plus a $15 administrative fee per incident.
Collections: Unpaid balances accrue 2% monthly interest and may include attorney or collection costs.
12. Personal Property
The Company is not responsible for loss of or damage to personal items left in the Vehicle or at delivery/return locations.
13. Tracking & Privacy
Vehicles may include GPS or telematics for safety, theft prevention, mileage tracking, and contract enforcement.
By renting, you consent to the collection and use of such data per our Privacy Policy.
14. Governing Law & Jurisdiction
This Agreement is governed by the laws of the State of Tennessee.
All disputes shall be resolved exclusively by binding arbitration or in the state or federal courts of Davidson County, TN.
15. Force Majeure
We are not liable for delays, cancellations, or failure to perform due to events beyond our control, including severe weather, natural disasters, public safety restrictions, airport rules, strikes, labor disputes, or government orders.
In such cases, Easy Car Rentals Inc. may cancel or modify reservations without liability.
16. Entire Agreement
These Terms & Conditions, along with the Rental Policy and Privacy Policy, form the entire agreement between the renter and Easy Car Rentals Inc.
No oral modifications are valid; all changes must be in writing and signed by Easy Car Rentals Inc.
