Rental Policies

1. Driver’s License Requirements

All renters and additional drivers must present a valid U.S. driver’s license or an international driver’s license.

Temporary DMV licenses are accepted only with the original expired license.

Learner’s permits, provisional, or probationary licenses are not accepted.

2. Driver’s Age

Minimum rental age: 21 years old.

Drivers under 25 are charged a $9.95/day Young Driver Fee.

Certain premium or luxury vehicles may require drivers to be 25 years or older.

3. Additional Drivers

Immediate family members living in the same household and listed on the renter’s insurance policy may be added free of charge.

All others must meet the same requirements as the primary renter.

A $9.95/day fee applies per additional driver.

4. Insurance Requirements & Vehicle Protection

Renters must provide verifiable proof of full coverage insurance valid in Tennessee that includes:

  • Liability (meeting or exceeding TN minimums: 25/50/15)
  • Collision (covers damage from an accident)
  • Comprehensive (covers theft, vandalism, weather, etc.)

Out-of-state insurance is accepted only if it explicitly extends to rental vehicles.

If coverage cannot be verified, the renter must purchase a protection plan from Easy Car Rentals Inc. before the vehicle is released.

Protective Clauses:

  • Deductible: Any deductible is payable by the renter.
  • Uncovered Losses: The renter is responsible if insurance denies or delays coverage.
  • Total Loss: The renter owes the fair market value of the vehicle.
  • Subrogation: Easy Car Rentals Inc. may pursue recovery from the renter or their insurer.

5. Payment Methods

We accept all major payment methods via Stripe (credit/debit cards, Apple Pay, Google Pay, etc.).

Cash is also accepted for rental charges and deposits, but a valid card must still be presented for verification.

Payments must match the renter’s name.

6. Reservations

Reservations guarantee a vehicle class, not a specific make, model, or color.

If unavailable, a complimentary upgrade may be provided.

Reservations not picked up within 2 hours are automatically canceled.

Free cancellation within 24 hours of booking.

Easy Car Rentals Inc. reserves the right to refuse service for fraud risk, intoxication, prior violations, or safety concerns.

7. Security Deposit

A $200 security deposit is required at pickup.

The deposit may be used toward any balances (damage, fuel, tolls, tickets, cleaning, etc.).

Deposits are held for up to 7 business days after return to allow pending charges to post.

Release time depends on the renter’s bank.

8. Vehicle Condition & Inspections

Renters must complete pre- and post-trip photo inspections (interior and exterior).

This protects both parties in case of damage or cleaning disputes.

9. Fuel Policy

Vehicles are provided with a full tank and must be returned full.

Refueling charge: $6.95 per gallon (rounded down to the nearest 1/8 tank).

A Prepaid Fuel option is available (non-refundable).

10. Cleaning Policy & No Smoking

Normal use is expected.

Excessive mess (food spills, pet hair, mud, odors, vomit, etc.) incurs a cleaning fee up to $250.

No smoking or vaping of any kind — evidence results in a $250 cleaning fee.

Pets must ride in carriers or on seat protection; renters are responsible for related cleaning or damage.

11. Late Return & Grace Period

Up to 30 minutes late → no charge.

1 hour or more late → charged as an additional rental day (or applicable late fee).

Repeated late returns may affect future eligibility.

12. Keys, Accessories & Equipment

Renters are responsible for keys, remotes, toll tags, plates, fuel cards, and child seats.

Lost or damaged items will be charged at replacement cost plus a reasonable administrative fee.

13. Tolls, Tickets & Violations

Renters are responsible for all tolls, tickets, and violations incurred during the rental period.

Each incident may include a $15 administrative fee.

These may be deducted from the deposit or charged to the card on file.

14. Prohibited Uses

Vehicles may not be used for:

  • Off-road driving, racing, towing, or reckless driving
  • Operation by unapproved drivers
  • Rideshare or delivery without written consent
  • Illegal activity or tampering with GPS or safety systems

Violations void coverage and may result in repossession or additional fees.

15. Mileage

Rentals include 200 miles per day.

Additional mileage is billed at the contract rate.

Renters are responsible for roadside issues (lockouts, flats, dead batteries, fuel, etc.) at their own expense.

16. Delivery & Pickup (BNA + 25 miles)

Delivery to Nashville International Airport (BNA) or within 25 miles of our office is available for $100 (includes return pickup).

Approved BNA lots: Terminal Lot A, Economy Lot B, Economy Lot C.

Lockbox system available for flexible pickup and return.

17. Liability Disclaimer

Easy Car Rentals Inc. assumes no liability for accidents, injuries, property damage, or fatalities during the rental period.

The renter is fully responsible for safe, lawful operation.

18. Indemnification

The renter agrees to indemnify and hold harmless Easy Car Rentals Inc., its owners, officers, employees, and agents from all claims, damages, costs, and legal fees related to use, accidents, or violations.

19. Damage, Loss of Use & Diminished Value

The renter is financially responsible for all loss or damage to the vehicle unless covered by verified insurance.

20. Wear & Tear

Normal wear includes light scratches or scuffs under 2 inches.

Chargeable damage includes dents, cracks, curb rash, or anything affecting safety or function.

21. Force Majeure

Easy Car Rentals Inc. is not responsible for delays or cancellations caused by weather, natural disasters, labor disputes, or government restrictions.

22. Vehicle Condition & Titles

Some vehicles may carry rebuilt titles that have passed full state inspection and are legally roadworthy.

By renting, you acknowledge and accept the title status.

23. Location & One-Way Rentals

All rentals must be picked up and returned to our Nashville lot or an approved BNA location.

One-way rentals outside Tennessee are not permitted.

24. Claims & Dispute Process

Damage or incidents must be reported within 24 hours of return with photos and a police report if applicable.

Disputes must be submitted within 5 business days of billing.

25. Rental Fees, Taxes & Surcharges

All rentals are subject to:

  • Tennessee Sales Tax: 9.75%
  • Reservation & processing fee: 10%

These fees are state-mandated and non-refundable once the rental begins.

26. Booking & Cancellation

Free cancellation within 24 hours of booking.

No-shows or cancellations less than 1 hour before pickup are charged $75 or one day’s rental, whichever is greater.

27. Failure to Return / Vehicle Recovery

Failure to return the vehicle within 24 hours of the scheduled time without approval will be treated as vehicle theft.

Easy Car Rentals Inc. may charge additional days, recovery fees, and report to law enforcement.

28. Data & Tracking

Vehicles may include GPS tracking and telematics for safety, theft prevention, and mileage verification.

Location data may be shared with insurance or law enforcement as required.

29. Taxes on Add-Ons

Optional protection plans, young driver fees, and delivery charges are taxable under Tennessee law.

Refunds exclude government-remitted taxes and fees.

30. Arbitration & Governing Law

All rentals are governed by the laws of Tennessee.

Any dispute shall be resolved by binding arbitration or in Davidson County, TN courts.
